Terms and conditions for a P&G / Morrisons – Today’s heroes, tomorrow champions Fund grant approved by the Sported Foundation.
All grants from the Sported Foundation are accepted on the understanding that the following terms and conditions are agreed:
Use of money
- The grant will be used only for the purpose as described in the application form and award letter, unless otherwise agreed in advance by Sported. If a change of use is required, a request must be made in writing to Sported.
- The grant should not be used to pay for any spending commitment made before the date that the grant acceptance is received by Sported.
- The grant must only be spent by the organisation to which it is awarded; under no circumstances can the grant be transferred to another organisation to spend.
- The grant must be spent within the specified project timescales. For permission to carry over funds for use outside of these timescales, a request must be made in writing to Sported.
- The grant will not be paid until you have submitted all required due diligence documentation and signed and returned your grant acceptance.
- The official start date of the grant will be the date that the payment is received.
Promotion of grant/activities
The support of the grant and where possible Sported’s logo, should be publicly acknowledged and promoted in:
- All accounts, annual reports, and financial statements covering the period of the grant
- All written or spoken public presentations about the project or activities.

Reporting requirements
- All required monitoring and evaluation forms will be completed as required within the deadlines outlined within your grant award letter.
- We may also request quotes, images, videos and feedback as part of your reporting requirements.
- The grant recipient accepts responsibility for ensuring participant or parental (if under 18) consent is provided for any photographs, videos and quotes submitted to Sported in any project reporting.
- If the required monitoring and evaluation information is not received, this may result in the withdrawal of your grant offer and a repayment of grant sums awarded. It may also prevent your organisation from accessing future funding from Sported.
- Some grant recipients will be selected to submit financial monitoring information, so please keep track of your grant spend and any receipts/invoices. A financial review will ask for details of whether the funds were spent in line with your original budget and an outline of any major changes. You will be required to submit evidence of expenditure for any items over £100.
Safeguarding
- In accepting this grant, you confirm that your organisation has an up-to-date Safeguarding policy in place, that it has been formally adopted by your organisation, and has a set date for review.
- The grant recipient organisation has a named lead Safeguarding officer, a clear process for reporting concerns, and a process for recruiting and training paid and voluntary workforce including DBS / Disclosure Scotland / Access NI checks.
- The grant recipient organisation will implement and follow their Safeguarding policy and processes in all activities funded by the grant.
- The grant recipient organisation has a Health and Safety policy in place including risk assessments to cover all activities funded by the grant.
- The grant recipient organisation has relevant Insurance to cover all activities funded by the grant.
- The grant recipient will inform Sported of any serious incident report made during the lifetime of our grant.
Data protection
- The information you have supplied in your grant application form will be used by Sported and P&G/Morrisons for administration, research and analysis, and promotional purposes.
- We may give copies of this information to programme partners that are consulted when assessing applications, monitoring grants and when evaluating the impact of the programme.
- We may pass on your contact details to P&G/Morrisons and our programme partners in order for them to contact you about additional offers, opportunities and support you can access as a grant recipient.
- You will also be contacted by Sported by email about additional opportunities that may become available to you through being a beneficiary of the programme. This will usually be done via our grantee newsletter but may be by direct mail if opportunities come up at short notice.
- We recognise the need to maintain the confidentiality of vulnerable people and details of individuals will not be made public in any way, except as required by law.
- No provision of this grant agreement is intended to create any right or benefit enforceable against the parties to this grant agreement under the contracts (Rights of Third Parties Act 1999).
- The Freedom of Information Act 2000 gives members of the public the right to request any information that Sported holds. This includes information received from third parties such as, although not limited to, grant applicants, grant holders, contractors, and people making a complaint. If information is requested under the Freedom of Information Act, Sported will release it, subject to exemptions, although Sported may consult with an organisation first. If an organisation thinks the information it is providing may be exempt from release it should let Sported know during the application process.
Suspension of the grant
Sported reserves the right to suspend payment or demand repayment where:
- The organisation ceases to operate or become insolvent.
- The organisation changes its legal structure which therefore means that it is no longer eligible to receive a grant or to be a member of Sported.
- The organisation fails to use the grant or any part of it for the purpose for which it was made or fails to complete the project or activities within the agreed timeline.
- The information provided by the member was fraudulent, materially incorrect, or misleading.
- The organisation fails to comply with any terms or conditions of the grant as set out in this document or the grant offer letter, including monitoring and financial monitoring requirements.
If the situation arises that Sported needs to reclaim funds which in its opinion have been mis-spent or applied for dishonestly, there is no appeal against the recall of funds and Sported may take legal action to recall funds if it deems it appropriate to do so. The organisation that was awarded the funding in question will be liable for any charges incurred through the process.

Press Releases
Local newspaper, radio, television and websites are a brilliant way to promote your accomplishments and acknowledge your grant. Not only does it let people know about your success, it also promotes your activity to a wider audience.
Please keep Sported informed of any press activities – including writing articles, giving interviews or publishing press releases. Please also let us know if your project is nominated for, or wins. any awards. We would appreciate any acknowledgement of P&G/Morrisons in any speeches, interviews or press releases relating to the award. We may be able to provide extra support and help in creating newsworthy events and ideas.
